Program and Office Assistant
Calgary Arts Development seeks a dynamic and efficient Program and Office Assistant. This full-time position is ideal for an early-career go-getter with an awesome attitude, great customer-service skills and an interest in learning about and serving Calgary’s growing and diverse scene.

The Program and Office Assistant spends about 70% of his or her time supporting the community investment program by helping arts organizations and artists access our programs and expertise. To do this effectively, candidates must be really interested in learning about and serving Calgary’s growing and diverse arts scene. This work focuses on supporting artists and arts organizations through:
- managing information (using database management);
- processing grant applications and coordinating payments;
- updating and editing web content;
- coordinating volunteers;
- answering basic questions about Calgary Arts Development Programs;
- assisting Community Investment team members as they pilot and execute new grant-making processes; and,
- serving as an ambassador of Calgary Arts Development in the community.
The Program and Office Assistant is also the Calgary Arts Development team member most responsible for office administration tasks. Approximately 30% of his or her time is spent:
- answering phones and greeting visitors;
- managing incoming and outgoing mail, mass mail outs and couriers;
- providing meeting support (booking venues, catering, occasional note taking);
- maintaining basic office operations;
- managing invitations, attendance and thank you cards for arts events; and,
- providing basic finance and filing support (assisting with accounts payable and accounts receivable, maintaining petty cash, setting up new vendor accounts).
