The New Gallery: JSH Program Assistant

John Snow House Program Assistant

The New Gallery (TNG) is seeking applications for a Program Assistant to work at the John Snow House (JSH). Established as an auxiliary space of TNG in 2008, JSH has a rich history as a space of community engagement in the City of Calgary. Named for its most famous resident, print-maker, banker and community leader, John Snow, the house is currently home to TNG’s support programming, including: a live-in artist-in-residence (AiR) program, resource center, letter press facility and community partner projects.
The role of the Program Assistant is to further develop these programs, and while the successful candidate will be involved in a range of work and research at JSH, their primary responsibilities will be set in the facilitation of our AiR program and its related activities. The successful candidate will be working under the direction of the John Snow House Director. Training specific to the role and JSH will be provided.
Qualifications
Candidates should be individuals with a keen interest and desire for experience in the development of public projects geared towards the support of research and production in contemporary art practices. The ideal applicant will be enrolled in an educational program focused on or related to the study of Studio Arts, Art History, Art Education, Curatorial Studies or the equivalent, and will have experience in assisting and facilitating the projects of others, in addition to their own.
Candidates must be comfortable working with a Mac operating system and familiar with Microsoft programs (particularly, Word and Excel), the Adobe Creative Suite, website maintenance, and social media. The successful applicant will be highly organized and self-motivated, and will have extensive experience working with the public in a variety of capacities.
Basic responsibilities include:
- Research to support the development of the AiR program (to be collected for future use)
- Developing existing and new relationships, sponsorships, and partnerships in the Calgary community in support of the AiR program
- Creating documentation of all work undertaken to update relevant sections of the Procedure Manual for future organization use and in a personal journal format for student’s reflection and personal use
- Facilitation and support of the AiR’s work and programs
- In conjunction with the resident artist and John Snow House Director, develop and deliver a public program to take place during the AiR, i.e. open studio, workshop, lecture, etc.
- The maintenance of the John Snow House facility in support of the AiR program, and with the support of the John Snow House Director
- Promotion of JSH activities and programs i.e. social media

The Opportunity

The role of the Gallery Assistant is to support the Gallery staff in the various facets of the Gallery’s operations. The Gallery Assistant will be working under the direction of the Administrative Director. Training specific to the role and Gallery will be provided.
Qualifications

Mob Hit Productions is currently seeking a Costume Designer for its upcoming LabWorks Festival.
As Costume Designer for the festival you would be in charge of the costumes for 2 one act shows (one dance the other straight theatre) as well as the headlining production of Habanera - a dance show based on Bizet’s opera Carmen, and directed by Mob Hit’s Dance Curator Cassandra Uhlenberg. Specific duties will include working with the directors/choreographers to help design the costumes for each show, as well as procuring the costumes that will be used in the productions.

EXECUTIVE ADMINISTRATOR
The Executive Administrator will provide administrative support to the Senior Management team of the Art Gallery of Alberta (including: Executive Director/Chief Curator, CFO/Director of Operations, Director of Development and Director of Marketing/Communications) and to the AGA Board of Directors. Specific responsibilities of the Executive Administrator will include: meeting coordination, scheduling and minutes; Board and Senior Management correspondence; Board liaison activities; human resources and payroll assistance (including: employment letters / contracts, employee orientation and administrative training); donor services (including: tax receipting and donor administration); the preparation of grants, reports and presentations; as well as general administrative assistance as required.
QUALIFICATIONS
The successful candidate will have previous experience in a senior administrative position, and must be highly organized with a demonstrated ability to effectively prioritize workflow. Excellent interpersonal, written and oral communication skills are required, as well as an ability to exercise independent judgment, show initiative and be proactive in the work place. Experience with the Microsoft Office suite of programs (Excel, Pivot table, Word, Power Point and MS Outlook) is also required.

CJSW Radio: 2013 Summer Jobs

CJSW Radio has applied for grants for a number of summer positions this year through the Canada Summer Jobs (CSJ) program.
These positions are limited to students who were enrolled in school over the past year, are between the ages of 18 and 30, and are returning to school full-time in the fall. The positions are as follows:
- Festivals Coordinator
- Multicultural Coordinator
- Funding Drive and Special Events Coordinator
- New Media and Spoken Word Programming Coordinator
- Music Librarian
- Archivist
- Programming/Promotions Coordinator

These positions are tentatively scheduled to start Monday, May 6, 2012 (though if funding approval is delayed, the start date could be pushed back). The rate of pay is $12.00 per hour and the length of term is 16 weeks of full-time employment at 35 hours per week.

FESTIVALS COORDINATOR
Tasks and Responsibilities
- Liase with summer festivals to coordinate CJSW’s participation as sponsor. CJSW sponsors over 25 festivals each summer including Carifest, Blues Fest, Calgary International Film Festival, Calgary Folk Festival, Greek Festival, Afrikadey!, Sled Island and many more.
- Work with the CJSW Station Manager, Program Director and Office Coordinator to plan and finalize sponsorship contracts with the organizations running festivals in Calgary.
- Ensure the implementation of on air and print advertisements associated with sponsorship agreements.
- Coordinate volunteers to be at festival booths and provide community outreach.
- Coordinate and create CJSW promotional materials such as brochures, program guides, etc. to enhance the festival experience.
- Organize CJSW’s own annual charity street hockey tournament, the Slurpee Cup.
- Work with the CJSW Station Manager, Program Director and Office Coordinator to plan and finalize sponsorship contracts with the organizations running festivals in Calgary.
Required Skills
- Excellent communicator with strong organizational and delegation skills.
- Strong leader, prepared to balance a number of priorities against tight deadlines.

MULTICULTURAL COORDINATOR
Tasks and Responsibilities
- Meet with multicultural program hosts and volunteers to assess needs.
- Work closely with the CJSW Program Director to further improve and promote the multicultural programs on CJSW.
- Produce promotional material - creating spots to be aired promoting each show, gathering and posting show info to the CJSW website, and, if necessary, developing any appropriate print material.
- Assist in writing and producing advertisements for cultural festivals and events.
- Assist multicultural programmers in developing newsworthy content and arranging interviews and guests.
- Produce stock content for yearly cultural events, such as Black History Month and International Women’s Day.
- Develop outreach initiatives for multicultural communities to increase community involvement.
Required Skills
- Excellent communicator with strong organizational and delegation skills.

Tasks and Responsibilities
- Organize and plan CJSW’s annual fundraising campaign, held each year in October.
- Generate ideas for year-round fundraising events and campaigns in addition to the annual Funding Drive.
- Design and implement marketing campaigns to inform the public about the CJSW Funding Drive and the other fundraising events, including finding an artist to create the Funding Drive logo for 2013.
- Establish and monitor budgets, negotiate rates with suppliers and control expenses for the different fundraising initiatives.
- Work with the CJSW Office Coordinator to recruit, train and motivate volunteers for the fundraising events.
- Update and maintain a fundraising database of all CJSW Funding Drive contributors from past Funding Drives.
- Approach local businesses for sponsorship before the start of Funding Drive 2013 and secure donations for volunteer support and pledge incentives.
- Contact current Friends Card businesses and confirm involvement for 2013 and update CJSW’s Friends Card contracts and create an electronic version to make them more accessible to businesses.
- Ensure venues for FD events are available and reserved as well as seek out and confirm performances and activities for FD events.
- Assist in arranging performances and recruiting volunteers for the CJSW Summer Concert Series, New West Fest (in conjunction with the Calgary Stampede) and other special event projects over the summer.
Required Skills
- Very strong organizational skills.

- Knowledge of MS Office Suite, and experience working in a Mac environment.

NEW MEDIA & SPOKEN WORD PROGRAMMING COORDINATOR
Tasks and Responsibilities
- Create and manage a web-based system for sharing spoken word programming such as program segments, tips and interview opportunities between spoken word programmers and other CJSW programmers.
- Research and implement new and better ways to connect with our community and better manage internal communication between all CJSW programmers such as utilizing social networking tools.
- Establish, manage and maintain accounts for various social networking programs with a goal of community outreach and promotion of spoken word programs.
- Operate as a member within the news department, regularly communicating with the News Coordinator.
- Maintain CJSW’s news and specialty programming contact database.
- Assign department members to cover spoken word events.
- Cover spoken word events and conduct interviews.
Required Skills
- Deep understanding of social networking tools like Facebook, Twitter and blogging.
- Use and management of software such as “Google Groups” and web blogs to allow programmers to share program segments, tips, and interview opportunities.
- Ability to work closely with the News Director and Program Director to develop new initiatives for creating and publicizing spoken word content.
- Working knowledge of sound production facilities and technology, including Logic Pro is an asset but is not required.
- Familiarity with the local spoken word scene an asset.
MUSIC LIBRARIAN
Tasks and Responsibilities
- Help the Music Director with development and implementation of a digital music library.
- Implement a catalog system for maintenance of the library (eg: CD and record repairs, ordering replacements).
- Recruit and instruct volunteers on how to maintain and use the CJSW catalogue to allow easy access to information. Help programmers and volunteers learn how to use the library.
- Recruit volunteers to catalogue library items and keep the library neat and organized.
- Replace missing library materials by finding album artwork online, asking labels or bands for copies or burning new copies.
- Coordinate these projects with CJSW’s Music Director, programmers and volunteers.
Required Skills
- Task oriented and focused.
- Strong working knowledge of computers, especially Macs.
- Experience and/or education in library organization is an asset.
- Working experience with databases.
- Strong musical knowledge.
- Online research skills and asset.
ARCHIVIST
Tasks and Responsibilities
- Develop a plan to digitize CJSW’s culturally valuable physical archives of radio interviews, musical performances and historic moments from the past 28 years.
- Digitally archive, catalogue and tag materials for future access and use, and potentially make these materials available to the public based on cultural relevance.
- Coordinate and train volunteers alongside CJSW’s Production Coordinator to help with the actual digitization.
- Create a plan to better archive and catalogue future on-air interviews and musical performances.
- Coordinate special projects such as live recordings and live studio sessions (recording bands and musicians).
- Work with CJSW’s Engineer and News Director to maintain, repair and troubleshoot CJSW’s production facilities and equipment.
Required Skills
- Working knowledge of sound production facilities and technology, including Logic Pro and ProTools, digital recorders, etc.
- Strong organizational skills and ability to meet deadlines.

- Work with Festivals Coordinator to actively develop CJSW’s participation as a sponsor of the summer festivals including Carifest, Native Awareness Week, Calgary International Film Festival, Calgary Folk Festival, Greek Festival, Afrikadey!, Sled Island and more with CJSW staff and volunteers.
- Coordinate special events, projects and promotions for internal and external audiences, such as CJSW’s fundraising events and live “on-location” broadcasts.
- Organize CJSW’s own annual charity street hockey tournament, the Slurpee Cup.

• A minimum of one to two years of experience in reception or office administration
• Dynamic, outgoing and friendly personality
• Excellent interpersonal and communications skills
• Proven teamwork abilities
• A strong attention to detail, thoroughness, quality and standards
• Demonstrated ability to multi-task
• Proficiency in Microsoft Office Suite and Internet research
• Experience in processing financial transactions and financial record keeping
• Experience working with children an asset
• Proven customer service experience
• Basic Microsoft Office and data entry skills
• Ability to multi-task and respond quickly to changing priorities
• Ballet knowledge/experience an asset
Reporting Accountability
The Administrative Assistant will report directly to the Manager, Development and Communications. As well, this position will work closely with both the artistic and academic faculty as well as other administrative staff.
Schedule and Salary
The Receptionist is a full-time salaried position with a benefits package. The days of work are Monday to Friday from 8:30am – 5:15pm.
The salary range is $31,000-$35,000 plus benefits.
