JazzYYC is seeking a highly organized administrative coordinator to support day-to-day operations and provide administrative support to the executive artistic director and director of operations. This role focuses on maintaining and coordinating existing systems and helping ensure the organization runs smoothly.

This position is well-suited to an experienced arts administrator or a highly organized individual looking for flexible, part-time work in a creative environment.

This role is ideal for someone who enjoys creating order, maintaining systems and supporting a small team in a collaborative arts environment.

Key Responsibilities

Administrative & Organizational Support

  • Maintain records and databases (donors, members, volunteers)
  • Track key deadlines (grants, reporting, contracts)
  • Maintain clear and consistent filing and documentation systems

Staff & Board Support

  • Provide administrative support to the ED/AD and DOO, including scheduling, document preparation and coordination of tasks
  • Assist with scheduling and circulation of meeting materials
  • Support preparation of reports and internal documents

Programs & Events

  • Provide administrative support for concerts, festivals and education programs
  • Assist with volunteer coordination and event-related communications

Fundraising & Grants

  • Support grant applications and reporting (data collection and formatting)
  • Opportunity to contribute to grant writing depending on experience and interest

Communications

  • Update website event listings
  • Assist with distribution of marketing and promotional materials

What You Bring

  • Strong organizational skills and attention to detail
  • Ability to manage multiple tasks and keep systems up to date
  • Experience in the arts, nonprofit, or event-based environments
  • Comfort working independently in a remote or hybrid setting
  • Proficiency with Microsoft Office and Microsoft Teams
  • Experience with grant writing or interest in developing this skill is an asset

Working Conditions

  • Approximately 15 hours per week (flexible scheduling)
  • Primarily remote, with occasional in-person support for events or meetings
  • Some evening/weekend availability during festivals or events
  • Three-month probationary period to ensure mutual fit

Compensation

  • $25/hour
  • One-year contract, with potential for renewal or growth as the organization evolves
