In addition to 66 full-time orchestra musicians, the Calgary Phil is one of two major symphony orchestras in Canada that has its own chorus of over 140 volunteer singers. The Role

The Calgary Phil is looking for an enthusiastic group sales coordinator to join its marketing + sales team.
Reporting to the sales manager, the group sales coordinator is responsible for facilitating ticket sales, including managing group sales for Calgary Phil performances. This role involves identifying potential group clients, maintaining relationships with existing clients, and working closely with the marketing, development, and artistic teams to meet sales targets.

Key Responsibilities

Sales

  • Use the Calgary Phil’s ticketing system to facilitate ticket sales and address ticket-related inquiries.
  • Identify and target potential group sales clients, including schools, community organizations, corporate clients and tour operators.
  • Develop and implement strategies to increase group sales revenue and meet existing targets.
  • Conduct outbound sales calls, emails and meetings to promote group sales opportunities.

Client Relationship Management

  • Build and maintain strong relationships with group clients to ensure positive outcomes.
  • Provide excellent customer service, addressing client inquiries and resolving issues promptly.
  • Work with the venues, operations, and artistic teams to coordinate logistics for group visits, including seating arrangements, special requests and pre- or post-event activities.

Coordination and Administration

  • Manage group reservations and ensure accurate processing of group sales invoices and orders.
  • Track and report on performance, including sales figures, current market trends and client feedback.
  • Maintain an up-to-date database of group sales clients and prospects.
  • Invoicing, tracking, and reporting on sales related to Education Concerts and open rehearsals.

Marketing and Promotion

  • Collaborate with the marketing team to develop group sales promotional materials and campaigns.
  • Attend community events, trade shows and other networking opportunities.

Desired Qualifications

  • Minimum of two years’ experience in arts administration, ticketing or tourism sector.
  • Ability to provide professional, efficient customer service with a focus on positive outcomes.
  • Results driven, self-motivated, energetic and proactive.
  • Confident working with data to organize, analyze and report on usable insights.
  • Comfortable working independently and as a member of a collaborative team.
  • Highly organized, detail-focused and consistent in execution.
  • Experience with Spektrix and/or Ticketmaster an asset.

Additional Details

  • This is a full-time position. Salary range for this position is $45,000 to $50,000 annually.
  • This position will require evening and weekend work to steward groups at select concerts and for a minimum of ten box office shifts per season.
  • The Calgary Phil has a hybrid remote work program. Employees who are eligible for this program can work up to three days/week from an appropriate remote location.
