The Calgary International Film Festival (CIFF) is looking to recruit an organized, outgoing and dynamic individual to assist the operations team with the execution of various operations-related tasks, both before and during the 2026 festival. The Operations Support role will involve assisting in a variety of areas, including volunteer management, venue management and box office support.

Essential Functions

  • Support the operations manager by completing various administrative tasks, including taking inventory, ordering office supplies and coordinating food budgets for festival volunteers.
  • Support the volunteer coordinator by completing various tasks, including volunteer schedule creation and volunteer communication.
  • Support the box office coordinators by completing various tasks, including the creation and tracking of box office discount codes.
  • Support the venue coordinator by completing various tasks related to venue management, including moving between festival venues.
  • Facilitate communication between the operations department and the rest of the festival team regarding administrative needs (office supplies, volunteers, ticket codes).
  • Attend and contribute to an in-person festival Post Mortem meeting, including the preparation of detailed post mortem notes related to the position and work accomplished.
  • Other duties as assigned.

Approximate Work Hours

  • June 16 – 30; 10 hours a week
  • July 1 – 31; 16 hours a week
  • August 1 – 31; 18 hours a week
  • September 1 – 15; 20 hours a week
  • September 16 – 30; 24 hours a week

Qualifications

Must haves

  • 2 – 3 years of office or administrative experience
  • Effective and empathetic communication skills
  • Excellent customer service and ability to handle difficult situations calmly and effectively
  • High attention to detail and time management skills
  • Outstanding collaborator and team player with the ability to adapt quickly
  • Proficient with Google Suite and/or Microsoft Office software

Assets

  • Experience with volunteer management software (ex. Better Impact)
  • Experience with Eventive and Slack
  • Experience working in a festival/event environment
  • Experience with non-profit organizations
  • First Aid training
  • Interest in film and film festivals
