About the Calgary Boys’ Choir
The Calgary Boys’ Choir is dedicated to empowering boys to be expressive, creative and engaged citizens through high quality music education. Through rehearsals, performances and community engagement, choristers develop musical excellence while building confidence, teamwork and leadership skills.
The choir presents concerts, educational programs and community events throughout the season and works closely with families, volunteers and supporters to create a vibrant choral community.
Position Overview
The Calgary Boys’ Choir is seeking a highly organized and collaborative operations and program manager to support the day to day operations of the organization.
Working closely with the artistic director and board of directors, the operations and program manager coordinates marketing communications, membership support, concerts and events, and organizational administration.
This is a part time contract position averaging approximately 15 hours a week. The role is hybrid, combining remote work with on site presence at rehearsals, performances and select events.
Workload varies slightly throughout the season, with some weeks focused on communications and administration and others focused on concert and event preparation. There is also greater scheduling flexibility during the summer months, when programming activity is lighter and reduced hours or time off may be arranged.
Key Responsibilities
Marketing and Communications
- Coordinate marketing and communications for concerts and choir activities
- Manage social media platforms and digital communications
- Coordinate digital advertising campaigns and promotional initiatives
- Maintain and update the organization website
- Coordinate arts community partnerships and promotional exchanges
- Create or coordinate graphic materials for marketing and communications, working with external designers when appropriate
Membership and Volunteer Coordination
- Coordinate regular communications with choir families
- Respond to membership inquiries and support chorister families
- Coordinate volunteer communications and scheduling
- Maintain volunteer documentation and processes
Program and Rehearsal Support
- Provide on site operational support during select rehearsals and all concerts
- Track chorister attendance and support rehearsal logistics
- Serve as liaison between staff and chorister families
- Manage the TeamSnap platform and support families with technical questions
- Maintain internal calendars and scheduling
Concert and Event Production
- Coordinate logistics for concerts and performances, including venues and rentals
- Coordinate preparation and printing of concert programs
- Manage ticketing platforms and ticket pricing (Eventbrite)
- Coordinate front of house operations including box office and reception
- Coordinate volunteers and event support staff during performances
Administration and Organizational Support
- Maintain organizational systems including Google Workspace
- Liaise with the bookkeeper and treasurer on financial administration
- Maintain administrative records and attendance tracking
- Coordinate printing of music and administrative materials
Board and Strategic Support
- Prepare operational reports ahead of each board meeting
- Attend board meetings and provide operational updates
- Support strategic planning initiatives and board projects
- Track board deadlines and assist with AGM preparation
- Support the annual budgeting process
Funding and Fundraising Support
- Assist with grant applications and funding reports
- Track grant deadlines and reporting requirements
- Liaise with funding agencies when required
- Support fundraising initiatives including bingos, casinos and auctions
Camps and Special Programs
- Coordinate logistics for camps and workshops
- Support volunteer coordination and on site activities
- Assist with transportation logistics and program setup
Facilities and Storage
- Coordinate rehearsal and storage venues
- Support equipment and storage organization
- Coordinate venue communications and contracts

In this role, the operations and program manager helps ensure that the Calgary Boys’ Choir’s programs, concerts and communications run smoothly and professionally.
Success in the role may include:
- Choir families receive clear, consistent communications throughout the season
- Rehearsals, concerts and events are well organized and well supported
- Marketing communications and social media effectively promote concerts and membership opportunities
- Ticketing and front of house operations provide a welcoming experience for audiences
- Administrative systems and digital files are organized and accessible for staff and board members
- Grant reporting, board reports and operational tasks are completed accurately and on schedule
- The artistic director and board feel well supported in advancing the choir’s programs and goals
Work Environment
The Calgary Boys’ Choir operates with a small, collaborative team supported by dedicated volunteers and an engaged board of directors. Staff work closely together to support the artistic and educational mission of the choir while maintaining a supportive and flexible work environment.
This role combines independent administrative work with collaborative program support. Much of the work can be completed remotely, while some responsibilities require on site presence during rehearsals, concerts and select events.
Reporting Structure
The operations and program manager reports to the board of directors and works in close collaboration with the artistic director, volunteers and choir families to support the programs and operations of the Calgary Boys’ Choir.
Qualifications
The ideal candidate will bring many of the following skills and experiences:
- Experience in arts administration, nonprofit management or event coordination
- Strong organizational and project management skills
- Experience managing social media and digital communications
- Experience with graphic design tools such as Canva or similar platforms
- Comfort working with Google Workspace and website editing platforms
- Strong written communication and interpersonal skills
- Ability to work independently in a small team environment
- Experience working with volunteers or youth programs is an asset
- Familiarity with grant writing or nonprofit fundraising is an asset
Compensation
- Contract position
- Approximately 15 hours a week
- $30 to $35 an hour, depending on experience
- Flexible scheduling with some evening and weekend commitments during rehearsals and concerts
