Position Summary
cSPACE is seeking an experienced operations manager to lead facility operations, administrative systems, tenant and lease administration and operational readiness for cSPACE Marda Loop.
This is an upper-level management role within a small and entrepreneurial organization. It is ideal for someone who is both strategic and hands-on: a strong systems thinker who can lead day-to-day operations while helping shape the systems, standards and leadership capacity needed for cSPACE’s continued growth across multiple hubs and future facilities.
We are looking for a strong operational leader, systems thinker and relationship builder who is adaptable, dynamic, friendly and community-focused. The ideal candidate brings ambitious mid-career to senior-level experience in facility operations, project coordination, administration and service delivery, and can work both independently and collaboratively in a hands-on environment.
The operations manager is responsible for the efficient, safe, and effective operation of the facility through oversight of maintenance, compliance, office systems, bookkeeping coordination, vendor relationships, security, IT systems and site operations. The role also supports special projects and portfolio growth through internal project management and owner’s representative coordination for facility upgrades, public art and community-engagement installations, meanwhile-use initiatives and new facility operationalization.
Key Responsibilities
- Lead day-to-day operations at cSPACE Marda Loop, including leased spaces, shared areas, office functions, building systems, exterior areas and site infrastructure.
- Oversee preventative maintenance, inspections, repairs, lifecycle planning and building performance.
- Coordinate vendors, consultants, contractors, trades and service providers across custodial, mechanical, IT, telecom, security, landscaping and related building systems.
- Ensure compliance with applicable building, fire, health and safety, accessibility and operational requirements.
- Lead development and management of operating and project-related budgets, including forecasting, purchasing, quotes, tenders, service contracts and variance monitoring.
- Lead lease administration, tenant relations, onboarding, renewals support and occupancy coordination.
- Oversee office administration, workflow systems, bookkeeping coordination and operational record-keeping.
- Act as internal project manager for facility upgrades, building improvements, public art and related special projects.
- Support capital planning, construction coordination, commissioning, handover, move-in planning and post-opening stabilization for new or evolving spaces.
- Supervise and support operational and administrative staff and contribute to a strong culture of service, accountability and collaboration.
- Work closely with the events and theatre manager on venue readiness, technical infrastructure planning and operational continuity.
- Support the SPACEPILOT Director with operational planning, coordination and oversight as the meanwhile lease initiative evolves and scales.
Qualifications
We are seeking candidates with:
- 10+ years of relevant experience in facility operations, building management, non-profit housing, project coordination and/or construction-related environments.
- Experience in multi-tenant, community-serving or mission-driven settings.
- Experience managing vendors, consultants, contractors and skilled trades.
- Experience with lease administration, tenant relations, office operations and administrative systems.
- Experience leading budget development, forecasting, service contracts and financial tracking.
- Experience supporting capital projects, facility upgrades, commissioning, occupancy planning and operational handover.
- Experience overseeing security systems, access control, IT service coordination, telecommunications and office infrastructure.
- Strong knowledge of facility systems, maintenance planning and day-to-day building operations.
- Ability to interpret construction drawings and related documentation.
- Knowledge of Alberta building, fire and occupational health and safety requirements.
- Strong project management, communication, presentation, problem-solving and customer service skills.
- Proficiency with Microsoft Office Suite, Google Workspace, Basecamp, AutoCAD and event, venue or facility management software.
- Assets include familiarity with live-event or venue infrastructure, building automation systems, security management and sustainable building systems, operations and management.
