The Alberta University of the Arts (AUArts) is looking for an organized and collaborative academic coordinator, undergraduate studies. This is a temporary full-time position ending on or before June 30, 2023. Hours of work are 35 hours per week. Why AUArts? The Alberta University of the Arts offers its 1,100 students studio-based programming that leads to a Bachelor of Fine Arts in one of nine disciplines, a Bachelor of Design in one of two, and an MFA in Craft Media. It has deep roots in Calgary’s creative community and will soon be celebrating its centennial. The Opportunity Reporting to the director, academic resources, the academic coordinator, undergraduate studies provides administrative support for the undergraduate portfolio. This includes coordinating faculty contracts, appointments, evaluations, processing expenses, creating reports, and managing course syllabi. This position has responsibilities to steward and support several committees, including agenda and document preparation, distribution, determining quorum and implementation/decision follow-up. Key Responsibilities: Provide support to senior academic leadership for cyclical procedural and contractual processes such as faculty evaluation, probation, promotion, CV records management, contract, and salary administration. Provide support to faculty and senior academic leadership regarding professional development status, award notifications, appointments, and committee membership. Monitor operating budgets including professional development funding, professional expense reimbursement and research initiative funding. Track and process student course evaluations and assist program review process and maintain accurate records and filing systems for quality assurance. Act as committee steward and coordinator for various committee chairs and membership preparing agendas, organizing documentation, determining quorum, workflows and tracking implementation of decisions and recommendations. Provide course management support, managing course syllabi, performing records management and producing reports. Respond to inquiries and advising students, staff and faculty on related processes. Communicate regularly with faculty and other business units on matters concerning the academic affairs enterprise. The successful candidate will have: Minimum 2-year post-secondary diploma in a related field, such as business or administration. Post-secondary degree in a related field preferred. Minimum 3-5 years previous experience in an administrative capacity. Direct experience within the educational or non-profit sector preferred. Demonstrated expertise with Microsoft Office 365 (Outlook, Word and Excel). Experience with learning management systems (e.g., Mosaic) and student information systems (e.g., Banner). Demonstrated ability to meet deadlines and flexibility to operate in an environment with frequent interruptions while maintaining focus on detail and accuracy. Demonstrated ability to work in a confidential, discrete and respectful manner. Highly developed written and verbal communication skills. As a member of the AUPE bargaining unit (Local 071/006), this full-time temporary position falls under a classification 5 (five).
