Mountain Standard Time Performative Art (M:ST) is looking for an administrative assistant to join our team for a limited-term, full-time contract, with the potential for renewal depending on funding.

Duration: 9 weeksCompensation: $20/hrHours: 30hrs/weekLocation: Hybrid (Remote and in-person)Responsibilities:

  • Work with the co-directors and the editorial intern to ensure people have access to M:ST’s programs and initiatives through various media; website, interviews, social media, postcards, newsletters, personal invitations, etc.
  • Ensure the operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories, and evaluating new equipment and techniques.
  • Maintain supplies inventory by checking stock to determine inventory level, anticipating needed supplies, and placing and expediting orders for supplies.
  • Assisting the co-directors in monthly bookkeeping, preparing regular financial reports for the board of directors, and working with M:ST’s accountant to draft year-end financial statements, T4s, and T3010’s.
  • Maintain a well-organized office and filing system with accurate and accessible records.
  • Provide administrative support to ensure smoother operation of the office, including vetting the general inbox and directing incoming communications to the appropriate staff member.
  • Preparing, organizing and storing information in paper and electronic form as needed
  • Assist the board by scheduling meetings and taking minutes at board meetings.
  • Ensuring the payment of all expenses for the operation of the Society.
  • Maintaining all accounts and financial records of the Society. Supports the team by performing tasks related to organization and strong communication.
  • Develops administrative staff by providing information and educational opportunities to staff.
  • Set regular check-ins with your co-director to communicate needs and resources gaps.

Proven history of:

  • Organization
  • Time management
  • Good verbal and written communication skills
  • Attention to detail
  • Familiarity with social media
  • Proficiency in Microsoft Word, Powerpoint, and Excel
