Alberta Views magazine is looking for an office manager to join our small but dedicated staff. This is a part-time position based in our Calgary office. Occasionally longer hours might be required. Aim: Provide outstanding support to the publisher and ensure the smooth running of the office. Qualifications: Business administration training; university degree desirable. Experience in bookkeeping using Quickbooks. Excellent computer skills, typing, word processing, data entry, Excel. Strong organizational skills. Good research and writing skills. Independent/proactive/cooperative/ability to work as part of a team. Understanding of and commitment to the philosophy of the magazine. Mature and professional with a high standard of ethics. Responsibilities: Bookkeeping (22 hrs. per month). Enter payables and receivables in Quickbooks. Prepare invoices for advertising clients. Do bank deposits and maintain accurate records. Prepare monthly bank and VISA reconciliation reports. Prepare payroll in Quickbooks. Prepare for Year-End to go to the accountant. Ad sales support (10 hrs. per month). Update contact information. Mail approximately 40 packages including media kit and issue of the magazine to qualified advertising contacts every month. Circulation support (32 hrs. per month). Take phone subscriptions. Enter subscription data. Process credit cards and create deposit reports. Process mail returns. Compile contributor’s database. Office management (32 hrs. per month). Respond to emails, phone calls, distribute mail, arrange couriers. Send books to reviewers and letters to book publishers. Update Index of Articles. Order supplies, organize storeroom, keep filing up to date. Technical computer expertise an asset.
