Office Manager/ Assistant to the Publisher

Alberta Views magazine is looking for an office manager to join our small but dedicated staff. This is a part-time position based in our Calgary office. Occasionally longer hours might be required.
Aim: Provide outstanding support to the publisher and ensure the smooth running of the office.
Qualifications:
- Business administration training; university degree desirable.
- Experience in bookkeeping using Quickbooks.
- Excellent computer skills, typing, word processing, data entry, Excel.
- Strong organizational skills.
- Good research and writing skills.
- Independent/proactive/cooperative/ability to work as part of a team.
- Understanding of and commitment to the philosophy of the magazine.
- Mature and professional with a high standard of ethics.
Responsibilities:
- Bookkeeping (22 hrs. per month).
- Enter payables and receivables in Quickbooks.
- Prepare invoices for advertising clients.
- Do bank deposits and maintain accurate records.
- Prepare monthly bank and VISA reconciliation reports.
- Prepare payroll in Quickbooks.
- Prepare for Year-End to go to the accountant.
- Ad sales support (10 hrs. per month).
- Update contact information.
- Mail approximately 40 packages including media kit and issue of the magazine to qualified advertising contacts every month.
- Circulation support (32 hrs. per month).
- Take phone subscriptions.
- Enter subscription data.
- Process credit cards and create deposit reports.
- Process mail returns.
- Compile contributor’s database.
- Office management (32 hrs. per month).
- Respond to emails, phone calls, distribute mail, arrange couriers.
- Send books to reviewers and letters to book publishers.
- Update Index of Articles.
- Order supplies, organize storeroom, keep filing up to date.
- Technical computer expertise an asset.
Hours: Monday – Friday, 8:30am – 1:30 pm (or longer as negotiated)
