Alberta University of the Arts (AUArts) is looking for an ambitious, collaborative, and detail oriented assistant registrar, curriculum, registration & student information who is passionate about student success.

This is a full-time permanent position starting as soon as possible. Hours of work are 35 hours per week.

The Alberta University of the Arts offers its 1,100 students studio-based programming that leads to a Bachelor of Fine Arts in one of nine disciplines, a Bachelor of Design in one of two, and an MFA in Craft Media. It has deep roots in Calgary’s creative community and will soon be celebrating its centennial.

The Opportunity

Reporting to the registrar, the assistant registrar, curriculum, registration & student information plays a key role in the successful daily operations of the registrar’s office.

The assistant registrar works collaboratively with various stakeholders within the institution and ensures quality delivery of all student services. This role maintains curriculum records, supports the development of the academic calendar and oversees tuition and fee implementation. This position is key in convocation preparation and monitors the evaluation of student academic records to ensure graduation requirements are met.

Key Responsibilities:

  • Oversees timelines and assists with operations within the Registrar’s Office.
  • Guides the process for Prior Learning Assessment (PLAR) credits.
  • Interprets and explains policies, procedures, guidelines, and regulations to external stakeholders (e.g. prospective students, parents and general public) to ensure compliance while maintaining awareness of the impact on the public perception of AUArts.
  • As the subject matter expert pertaining to academic regulations, student record and curriculum system management and registrar’s office procedures, meets with AVPAA’s office, school directors, faculty, and students to discuss academic and non-academic concerns.
    Oversees the evaluation of student academic records to ensure program progression requirements are met in accordance with established policy.
  • Consults with and advises the AVPAA Office and school directors on the development of the annual academic timetable, inclusive of numbers of required course sections and scheduling. Monitors and researches trends in registration levels, prepares statistical reports and analyses in support of the timetable process. Directs the generation of the academic timetable and directs its distribution to students, faculty and administrative staff.
  • Responsible for completing and submitting the tuition and fee template to be provided to the financial aid advisor who will report it to Government.
  • Responsible for keeping the AUArts website and other publications up to date.
  • Responsible for inputting fees and fee rules into the student record system to ensure accurate billing of all students. Approving, tracking, and following up on tuition deferments, outstanding balances, invoicing, sponsored students.
  • Responsible for maintaining all institutional records, historical and current, providing course numbers, and all other changes made through academic council to courses, course descriptions, official course outlines.
  • Maintains confidential student records including grades, progression, official records, and financial aid.
    Prepares operational reports for the Registrar as required.
  • May represent AUArts as a member of provincial organizations as required.

The successful candidate will have:

  • Minimum undergraduate degree in a related discipline.
  • Minimum five (5) years’ experience in a post-secondary environment.
  • Experience in a Registrar’s Office is preferred.
  • Experience with Student Information Systems (preferably Banner) is an asset.
  • Demonstrated understanding of academic policies and registrarial processes that contribute to a quality student experience.
  • Experience with working in and with teams, and in initiating and implementing change strategies resulting in Improvements to service quality, staff productivity, and the effectiveness of systems and processes.
  • Excellent written and oral communication skills with a strong attention to detail.
  • Demonstrated ability to make independent judgments on specialized academic and procedural matters when supervisory assistance is not available.
  • Ability to quickly identify a problem and seek creative solutions, while still adhering to policies and procedures.
  • Excellent organizational skills and ability to meet deadlines and provide information accurately and quickly upon request.
  • Demonstrated ability to maintain confidentiality and discretion.

Compensation

The starting annual salary is between $59,244 and $62,001 CAD per annum dependent upon skills, education and experience.
