The Alberta University of the Arts offers its 1,100 students studio-based programming that leads to a bachelor of fine arts in one of nine disciplines, a bachelor of design in one of two, and an MFA in craft media. It has deep roots in Calgary’s creative community and will soon be celebrating its centennial.

The Opportunity

Reporting to the director, campus operations, the campus operations assistant provides customer service and administrative support to ensure a smooth flow of information and activities across the university. As the first point of contact for students, staff, and visitors, this role represents the university in a positive and professional manner.

Key Responsibilities

Customer Service

  • Responsible for answering the university’s main phone line and following established processes to respond or redirect inquiries to appropriate individuals or departments across the organization.
  • Responsible for greeting all students, staff, and visitors attending the university campus and providing directions and information on university programs, services, and special events or activities.
  • Assists with the coordination of campus access for all students, staff and visitors. Screens individuals entering campus to verify access requirements are met, providing explanation of university policies, procedures, and guidelines, and escalating refusals to comply to security.
  • Provides reception for and assists in the set-up of exhibitions and events as required.

Administrative Support

  • Responsible for the coordination of the university’s incoming and outgoing mail services, including priority post and courier services, liaising with the bookstore staff as needed.
  • Responsible for maintaining the overall organization of the mail room, including collection, sorting, and distribution of mail, updating community mailboxes, and replenishing supply levels.
  • Responsible for maintaining the water and coffee stations, ensuring replenishment of supplies as required.
  • Assists with general campus operations department administration, including proofreading documents, printing, photocopying, laminating, and binding materials.
  • Assists in maintaining the furniture layout in the common areas of the university.

Health, Safety, Security and Environment Support

  • Assists in monitoring for instances of health and safety policy non-compliance and provides explanation of appropriate policies and procedures in identified instances. Escalates unresolved instances to the director, campus operations.
  • Assists the campus operations department with the execution of emergency response procedures, including acting as a fire warden, and communicating updates to students, staff, and visitors.

The successful candidate will have:

  • Minimum grade 12 high school diploma.
  • Minimum one to two years of direct experience in an administrative role or general office capacity.
  • Experience in a front-line or customer service role is an asset.
  • Strong working knowledge of general office procedures involving mail services and general administrative support.
  • Excellent customer service skills.
  • Strong written and verbal communication skills.
  • Demonstrated ability to be flexible and adapt to meet changing work need and demands.
  • Ability to prioritize work and provide information accurately and in a timely manner.
  • Demonstrated ability to exercise judgment and skills in decision making to address issues and problems.
  • Proficient skills working with Microsoft Office 365 (SharePoint, Outlook, Word, Excel) and Adobe Suite.

Hours of work may vary to include support for exhibitions, events or special activities scheduled by the university.

The starting annual salary is $42,907 to $47,558 dependent upon skills, education and experience.
