Elephant Artist Relief Society (EAR) is a registered charity which provides practical resources to Calgary’s professional visual artists in order to help sustain their well-being and livelihood, contributing to a vibrant cultural community. We also host professional workshops such as the Umbrella Talks and an annual grant writing workshop.

We are funded for general operations and special projects through grants from organizations such as the Alberta Foundation for the Arts and Calgary Arts Development. Our emergency relief funds for artists come exclusively from donations through fundraisers and private donations.

We are looking for a part-time contract administrator to focus on grant applications, communications, fundraising, and events in coordination with the EAR board, the accountant, as well as SCIP interns and volunteers.

  • Proven ability to work with large teams. Ability to connect and engage with different stakeholders from grant agencies, donors, board members and the art community at large.
  • Care and respect for EAR’s mandate.
  • Organizational grant writing is an asset.
  • Experience with not-for-profit boards and/or administration.
  • Strong time-management, organization, and scheduling skills.
  • Clear written and verbal communication skills.
  • Familiarity with online content creation and help create social media strategies that will expand our organization’s reach and community engagement.
  • Volunteer experience and an understanding of our city’s artist-run culture.
  • The ability to work from home, as we do not currently have an office.
  • High School Diploma.
  • Access to a vehicle is helpful but not necessary for this position. A laptop computer will be provided and is to be used solely for EAR related responsibilities.

Job Description

This position includes but is not limited to:

  • General Aadministrative duties such as managing emails and our mailbox.
  • Researching, applying for and report filing for grants and other funding opportunities.
  • Programming fundraising and conference events, and other activities for EAR members, in collaboration with the board and interns.
  • Updating EAR’s social media and website weekly and creating social media plans for events.
  • Participation in board meetings and collaboration with the secretary in planning agendas.
  • General correspondence invitations and thank you notes in collaboration with president.
  • Record-keeping—maintaining EAR files, written agreements, grants and contracts.
  • Organization of accounts and budgets, while working with the treasurer to keep receipts, bills, and financial reports in order.
  • Processing donations and keeping donation records.
  • Writing, distributing, and collating surveys.
  • Offering insight and guidance to the board.

Details

The contract administrator will be expected to communicate regularly with the EAR president, secretary, and treasurer, and is expected to be available to provide the board with a report at each monthly board meeting, to be scheduled one Monday every month at CommunityWise Resource Centre.

The position will begin in early to mid-November in 2019. This is a two-year contract to be re-evaluated in November 2021, with the possibility of renewal.
