Elephant Artist Relief Society (EAR) established an annual fundraising event in 2017. Originally titled Sad Bastards Lonely Hearts Ball, this event was called Sad Bastards Bad Luck Ball in 2018, while the 2019 event has still to be named.

The fundraiser will exhibit visual artworks that, in turn, will be auctioned with artists opting to retain fifty percent of the sale. The exhibit will culminate in a closing night event that includes live performances from poets, experimental performance artists, and a media art installation whom each receive an honoraria artist-fee.

While the closing night event will be one night only, the exhibit will take place over the week prior, and interns are expected to perform follow-up tasks relating to their roles upon conclusion of the fundraiser. Duties will consist of two to five hours a week, with more hours concentrated closer to and during the launch of the fundraiser, and fewer hours required executing wrap-up duties.

As an organization that highlights community, this fundraiser draws out artists from around the Calgary region and has always been a rocking good time. The fundraiser is also critically important to replenishing the charity’s emergency relief funds. We are seeking interns to help promote and coordinate this exciting event.

The volunteer coordinator will be responsible for advertising for, enlisting and organizing volunteers for Elephant Artist Relief Society’s annual fundraising event to take place in September of 2019.

The ideal candidate for this position has excellent organizing skills, is eager to reach out to accommodate a diverse range of people, can respond quickly and efficiently to otherwise unexpected tasks that arise at the event site, and has a gracious and informative approach to managing people. The volunteer coordinator will take guidance from the fundraising chair while also reporting to and attending fundraising committee meetings.

What we will accomplish:

  • Submit a shareable folder with all documentation, scheduling details, and appreciation strategy to EAR’s fundraising chair and administrator by the end of their contract on September 30, 2019.
  • Propose, and execute, a gesture of volunteer appreciation following the tear-down of the art exhibit on September 14, 2019 and before the conclusion of their contract on September 30, 2019.
  • Both schedule and directly oversee volunteers throughout the closing night event on September 13, 2019.
  • Be available to volunteers, ensure fulfilment of duties, and respond to arising needs during the art exhibition from September 8 to 14, 2019.
  • Communicate and fulfill a week-long exhibit’s scheduling needs to confirmed volunteers by matching their interests with specific roles and ensuring they know the shifts they will be working.
  • Create a volunteer recruiting strategy that includes communicating with post-secondary education departments and student unions, contacting former EAR volunteers, and connecting with arts organizations.
  • Consult members of EAR’s fundraising committee in order to draw up a list of volunteer roles, duties, and prerequisites.
  • Keep detailed, and shareable, documentation of confirmed volunteer contact information, roles and shifts, as well as membership status.
