Studio Administrator

The studio administrator is responsible for completing duties related to the ongoing operation of Tryzub Studio and the Tryzub Ukrainian Dance Society. Studio administrator liaises with the board of directors, the artistic director and committee leads, and reports to the chair, board of directors.

The successful candidate pays attention to detail and performs the required duties competently on a timely basis.

Specific Accountabilities:

  • The studio administrator is responsible for the administration of our studio operations software product, Dance Studio Pro (DSP), as an administrator. This requires having an in-depth knowledge of the product, working with the other DSP administrators to ensure consistency and ensuring all posted files (such as the dance calendar) are maintained and updated accordingly. DSP training will be provided to the successful candidate.
  • The studio administrator oversees the registration process in DSP, including annual setup of classes, posting tuition, maintaining active dancer lists and adjusting class placements as instructed by the artistic director.
  • To the extent fees have not been received through DSP, studio administrator follows up with the payor and process any manual payments accordingly.
  • The studio administrator supports the treasurer on a timely basis in reconciling revenues and expenses for major events, including Zabavas, GlobalFest.
  • The Ukrainian Food fundraisers (fall and spring) are the studio administrator’s responsibility, soliciting parent volunteers as required and working with them.
  • Studio administrator supports committee work as directed by the board of directors. (i.e., Zabava, GlobalFest, Stampede Parade, etc.)
  • Studio administrator purchases supplies with respect to studio maintenance and operations including cleaning supplies, office supplies, holiday treats, gifts, etc., subject to limitations set by the board-approved budget.
  • The studio administrator provides a written report to the board chair one (1) week prior to the monthly board meeting; attendance at board meetings may be requested from time to time by the chair.
  • Studio administrator is required to be enthusiastic, dedicated and work in the best interest of the Tryzub Ukrainian Dance Society.

Working Conditions:

  • 4-8 hours per week, (estimated) 46 weeks per year, or approximately 375 hours per year, subject to holidays and seasonal fluctuations. The role has the potential for expansion / growth and increased hours.
  • Work location is at the studio administrator’s discretion, unless otherwise directed by the chair.
  • The studio administrator must have his/her/their own computer.
  • Required to fulfil obligations as outlined by the board of directors in this job profile or any other requests that have been made by the chair.

The successful candidate must be proficient at meeting deadlines and adhering to agreed upon timelines.
