The Opportunity
Working closely with the leadership area, the Program Delivery Specialist (PDS) interprets program production needs – technical, creative, classroom design, informational design; and works closely with the program delivery production team to secure and schedule required resources.
The program delivery specialist works with all departments, clients, teams and faculty in facilitating, organizing and executing leadership programming operational requirements, and in ensuring accuracy and excellence in all print and digital learning materials.
Roles and Responsibilities
Reporting to the director of program operations, leadership, below are some key accountabilities:
- In collaboration with program managers and directors, production and presenting, PDS provides logistical and administrative support in the planning and organization of program-related events, such as faculty and participant presentations, readings, open studios, performances, happenings, concerts and theatre productions, amongst other activities
- Work with all departments in assessing leadership programs, and special project needs
- Provide program delivery assessments, adjudication support and plan and execute the day-to-day program delivery requirements
- In collaboration with IT, oversee the setup and operation of technology, software and digital platforms used for program delivery, while ensuring they are aligned with programming intentions and Banff Centre policies and protocols
- Provides leadership to the coordinator team in the realization of program delivery needs, such as digital and print materials, and creative, cultural or ceremonial sessions
- Working closely with Program Managers and Directors, responsible for the curation of the faculty and participant experience in digital and on-campus workshops, and learning spaces required for each program
- Plan, execute and troubleshoot all set-up requirements to achieve and maintain a high quality experience
- Communicate and maintain program schedules, created by faculty, program managers and directors, throughout programs
- Complete administrative tasks in service of program delivery associated with sourcing, procurement, purchasing, payments and financial reconciliation
- Prepare and process purchase orders, payments requests, cheque requisitions, petty cash vouchers, reimbursement and expense claims, and A/R adjustments for program expenses
- Act as a key liaison with program participants, faculty, and special guests, and facilitate communication with other Banff Centre departments
- Provide exceptional customer service delivery and demonstrate the ability to find solutions to problems when dealing with internal or external clients, artists, participants, staff, special guests and contractors
- Gathers and communicates all details, including logistical and artist care requirements, via Group Resume Form (GRF) and Banquet Event Orders (BEOs) with all Banff Centre departments. Verifies bedroom and venue bookings for assigned programs – notifies program manager or director of any problems and provides potential solutions where possible.
Qualifications and Educational Requirements:
- 5 or more years’ experience in project or event production environments or related experience preferably in a post- secondary or client service environment
- Completion of University degree in related discipline such as Humanities, Arts Administration or equivalent and transferrable experience
- Advanced InDesign and informational design skills
- Project/production scheduling skills are essential
- Demonstrated ability to work independently and collaboratively with teams, to lead by example, to problem-solve creatively
- Demonstrated experience working with a broad range of artist / participants and faculty
- Effective under pressure with the adaptability to shift priorities
- Proven project management skills with the capability to manage multiple projects
- Exceptional advanced organizational and time management skills
- High level of reliability and self-motivation
- Proficient with Microsoft Office Suite of products with advanced Excel skills
- Proficient in working in an electronic, online environment with many databases
- Familiar and competent with working in custom software programs and using internet and web-based communication methods
- Adept at new technologies, software applications, and digital platforms
Special Requirements
This position is subject to a rotating schedule and will include evenings and weekends. This rotating schedule is dictated by programming and programming event activity.
Employment Terms and Benefits:
- In accordance with CUPE 4318, this is a unionized, salaried support staff position, subject to a 6 month probation period.
- The annual salary for this position is between $61,464 and $64,521, depending on experience, based on working 40 hours per week.
