Administrative Assistant
ChamberFest West seeks a year-round, part-time administrative assistant who is a highly organized team player, skilled at multi-tasking, and who is passionate about the arts, especially music. Administrative experience organizing and running successful music events is a plus.
About ChamberFest West
ChamberFest West’s purpose is to advance appreciation of chamber music and enrich the community by providing a broad range of high-quality public performances in an annual summer festival in Calgary. The festival will feature internationally renowned musicians, will explore unique and immersive thematic programming, and will create original, engaging musical experiences for its audiences. Co-artistic directors and founders of ChamberFest West are violinist Diana Cohen and pianist Roman Rabinovich. Diana Cohen is concertmaster of the Calgary Philharmonic; founder and co-artistic director of ChamberFest Cleveland; and a well-known soloist, recitalist and chamber musician. About the Position
The administrative assistant will assist senior staff and board in implementing the ChamberFest West vision and mission as it relates to the planning, preparation and coordination of the Festival. The Administrative Assistant will:
- Follow and execute activities drawn from the overall timeline.
- Assist in the preparation of marketing materials, including electronic and paper advertisements, festival program book and other promotional materials.
- Assist in the coordination and execution of artist contracts, travel arrangements, itineraries, and other needs as required.
- Assist in the coordination and arrangements for venues such as implementation of venue contracts, performance and rehearsal requirements, and other venue-related matters as required.
- Assist in donor management activities and donor events.
- Assist in the identification and onboarding of festival volunteers.
- Provide onsite support during the festival.
- Other duties as assigned.
The Arts Management Assistant will be hired as an independent contractor. Except during festival time, when the successful candidate will work full-time, the position will require approximately 10 to 20 hours of work per week. Specific hours will be worked out between the successful candidate and ChamberFest West.
Due to the onsite requirements before, during and after the festival period, consideration will be given to the location of the candidate. In the event a candidate is resident outside of the City of Calgary, please note the Festival will not cover the cost of any housing, travel or living expenses of the candidate while in person attendance is required.
Salary: Commensurate with experience, starting at $23 an hour
