Client Services & Administration
Heffel, Canada’s national fine art auction house, is looking to fill a client services & administration position in the Calgary Office. The position will be responsible for providing administrative support related to daily operations at Heffel’s Calgary office, primarily tasks associated with Heffel monthly online auctions. This position will often serve as the first point of contact, representing Heffel to the general public and ensuring outstanding client service is delivered in a timely and accurate manner.
Duties and Responsibilities
Duties include, but are not limited to the following:
- Provide excellent customer service to clients in person, by telephone, by email and through virtual platforms.
- Assist clients with various inquiries (monthly online auctions, live auctions, private sales, subscription services).
- Assist with pre-auction tasks, including artwork collection, labeling, cataloguing and condition reporting.
- Complete administrative and client services post-auction tasks, including processing payments, communication related to shipping and pick-up, generating shipping invoices/manifests.
- Maintain and audit accounting deposit schedules.
- Maintain and audit artwork storage inventories.
- Liaise with Art Handler regarding client pick-ups, shipping logistics and storage audits.
- Prepare wall labels and various materials for preview installations, and assist with installation, as required.
- Generate FedEx shipment waybills and customs documentation, as required.
- Provide additional administrative support to Heffel Calgary team including appraisal inquiries, database entry, artwork research and essay writing, as required.
- Assist with Adobe Photoshop photo-editing, as required.
Qualifications and Skills:
- Bachelor’s degree in Fine Art, Art History, Communications/Marketing or related fields, preferred.
- Previous experience in a related role within the art market, museum field or luxury industry (administration, retail gallery/auction/museum experience) considered an asset but not required.
- High level of discretion in dealing with confidential information.
- High level of accuracy and attention to detail.
- Excellent communication and interpersonal skills.
- Excellent time management skills, ability to prioritize tasks and multi-task.
- Excellent organizational and administrative skills.
- Ability to work collaboratively with other team members and offices to accomplish company-wide and departmental goals.
- Ability to work in a fast-paced environment and tight deadline driven business.
- Proficiency with the Office Suite.
- Experience with Adobe products, including Photoshop considered an asset, but not required.
- Alberta driver’s license considered an asset, but not required.
- Strong interest and enthusiasm in visual arts, culture and the auction industry.
