EMMEDIA is hiring a part-time operations manager on a one-year contract!

One year contract with possibility of renewal. Part-time hours, approximately 20 hours per week. Occasional evening/weekend availability to attend events, in which case time off in lieu will be provided.

Start Date: May 16, 2022
Compensation: Hourly rate is negotiable and dependent on experience, within the range of $20-$30 per hour.

About EMMEDIA

EMMEDIA is a non-profit artist-run organization in Calgary, that supports both the production and presentation of media arts. EMMEDIA responds to a broad community by offering affordable access to media art production tools and facilities, services, technical and educational support, an array of production programs and residencies, and a year round schedule of public exhibition programs including the PARTICLE + WAVE Media Arts Festival. Our programs strive to foster artistic dialogue and engagement through complementary activities such as artist talks and panel discussions, workshops and publications. EMMEDIA has established ongoing support from all levels of government, as well as its own self-generated revenues. Building on a proud 35 plus year history, EMMEDIA looks confidently towards a dynamic future and seeks someone to lead its Programming department.

Job Information

Reporting to the board of directors, the operations manager is responsible for overseeing financial, logistical, and granting/fundraising operations, in addition to general operational tasks of the organization. This will include collaborating with other staff, the board of directors, and maintaining relationships with granting officers. They are also responsible for ensuring that any and all communication needed to accomplish EMMEDIA’s vision takes place.

During the COVID-19 pandemic, the successful candidate will work from home primarily but might occasionally be required to commute to the EMMEDIA office located at 2005, 10th Ave. SW. In the future, we expect that the role will operate primarily out of the EMMEDIA office.

Job Responsibilities

Financial:

  • Budget management and cash flow projections.
  • Overseeing cheque processing, payments and payroll.
  • Bank deposits/other transactions as require.
  • Working with bookkeeper to maintain books, provide all required records (monthly) and request reports as needed for board meetings and tracking.
  • Year-end: working with accountants to ensure all information, files and other documents and access provided (annually).
  • Meet and/or report to the finance committee monthly.

Operations – General:

  • Maintain well-organized operations files at EMMEDIA, accessible to the board and staff at all times.
  • Working with staff for financial planning for departments and operational logistics.
  • Attend board meetings (once a month).
  • Assist with other operational tasks as needed.

Granting:

  • Working with EMMEDIA staff to set annual granting timeline as well as work schedule for each grant deadline.
  • Responsible to complete all budget forms for operating grants (Calgary Arts Development, Alberta Foundation for the Arts and CADAC forms for Canada Council).
  • Editing and supporting written portions of grants pertaining to financial, operations or relevant topics. Editing content written by other staff.

Casino/Fundraising:

  • Complete paperwork as required for the AGLC Casino process.
  • Chair casino and organize volunteer management of casino.
  • Work with the board and staff to determine/facilitate fundraising initiatives and alternate funding streams.

Qualifications:

  • Experience managing operating budgets of 200K or higher.
  • Knowledge of the local arts and culture community.
  • Understanding of governance board structure and member-based ARC.
  • Previous grant writing experience (civic, federal, and provincial).
  • Strong administrative, time-management and organizational skills.
  • Must work effectively under deadlines, and set advance organizational timelines for longer-term projects, goals or targets.

Project management skills:

  • Experience with bookkeeping and accounting software, Microsoft Office, and remote video conferencing software.
  • Interest in media arts considered an asset.
