The Opportunity

The production coordinator, performing arts, provides the production support required for the delivery of Banff Centre programs, projects, and events. This primary delivery role is responsible for the day-to-day tasks as well as the organization of multiple Banff Centre productions. This role is responsible for ensuring that the production elements required for successful delivery are organized ahead of time, and that the operational and logistical production requirements meet the expectations of faculty, participants, project, and production leads.

Roles and Responsibilities:

  • Act as key liaison with all participants, faculty; and facilitate communication with other Banff Centre departments.
  • Identify, organize, and implement logistical requirements related to production needs.
  • Oversee production resource requests during productions and coordinate production needs between participants, faculty, and staff. Book space and equipment as required.
  • Maintain files on each program with all relevant production information.
  • Assist with compiling documentation and materials required for proposals and/or reports and in preparing production contracts and agreements.
  • Research and develop required information for production budgets.
  • Track expenditures through approved tracking systems.
  • Liaise with clients, participants, and production/technical crew during load in, tech, rehearsal, performance, and load outs.
  • Communicate on a regular basis with the main contacts on programs both internally and externally and provide followup on production commitments and schedules.
  • Attend technical, dress rehearsals and troubleshoot on-site production challenges as required.

Qualification and Educational Requirements:

  • Diploma/degree in performing arts/arts production or a related field, or equivalent professional experience.
  • 5+ years’ experience of production knowledge of music and theatre event activities.
  • 5+ years’ experience working in a performing arts capacity, preferably in a post-secondary or client services environment.
  • Proficient with Microsoft Office suite of products with advanced Excel skills.
  • Experience in scheduling arts technical/production-based or similar projects.
  • Production coordination and/or stage management experience within a professional performing arts or entertainment venue.
  • Reliable and self-motivated with the ability to work under broad direction without close supervision.
  • Strong attention to detail with strong administrative and effective communication skills.
  • Proven organizational expertise and ability to successfully manage multiple tasks and projects simultaneously.
  • Customer-centric approach, which results in exceptional customer service delivery.
  • Adept at new technologies, and familiar with scheduling software programs and databases.

Special Requirements: Due to the nature of the work, the production coordinator will be expected to be available to work evenings and weekends

Employment Terms & Benefits:

  • In accordance with CUPE 4318, this is a unionized, hourly support staff position, subject to a 500 hour probationary period.
  • This position pays $22.27 per hour working up to 40 hours per week on a rotating schedule.
