Production Manager, Artist Support

Each year, Banff Centre for Arts and Creativity attracts thousands of artists, faculty, and community leaders from around the world by offering unique and specialized professional development programs. The production manager’s role ensures the smooth operation of all arts studios (ceramic, sculpture, print/paper-making, digital media, photo studios, and individual artist/project studios).

The production manager works directly with program managers across all disciplines – visual, digital and media facilitators, photographers, and media and performing arts production staff – to undertake technical assessments, provide adjudication administration, pre-program organization, and in-studio support. This support is provided for all departments, clients, teams and faculty in facilitating, managing and organizing artist programming support predominantly in the visual, media and digital arts area.

Specific Accountabilities:

Reporting to the managing director, events, production, marketing and communications, below are some key accountabilities:

  • Works with programming and program operations in assessing and planning predominantly visual, digital/media arts needs, supporting adjudications, and providing ongoing technical assessments.
  • Oversees and manages assigned arts facilities/studios including the safe operation of all visual, digital/media arts studios ensuring Banff Centre safety regulations are followed.
  • Oversees successful delivery of artistic support, archival documentation services for programming, and the revenue generating photographic assignments.
  • Manages the day-to-day scheduling/booking of all visual, digital/media arts studios and production activities; ensuring required facilities and resources are booked and entered in scheduling software, including meeting rooms, arts studios, personnel and required equipment.
  • Develops and executes project/program, studio/production schedules and budgets; reconciling and reporting resources used.
  • Initiates regular project/program production meetings with appropriate staff and project teams; and, monitors project progress so that it stays on budget and on time.
  • Oversees day-to-day studio/production decisions and completes related management administrative tasks ensuring all deliverables are completed on time and on budget.
  • Develops accurate, detailed resource plans during program planning cycles. Identifies issues and concerns as they arise, and advises on adjustments required.
  • Develops annual and long range life-cycle equipment plans.
  • Manages broader production projects as assigned within all programs operations production area.
  • Human resource management, team building and interdivisional cooperation.
  • Provides day-to-day leadership, direction, and supervision to six direct reports: ceramics facilitator, digital media facilitator, print and paper facilitator, sculpture studio facilitator, photography facilitator and photographer.
  • Oversees and manages staff allocation of work activities and tasks, ensuring the quality and accuracy of all production administration, and the logistical and technical needs of scheduled activities/tasks assigned to staff are met.
  • Fosters an internal culture that emphasizes the highest standards for customer service, excellence of staff, participant and guest experience and fiscal, operational and organizational integrity.
  • Ensures that employees fully understand their roles, responsibilities and performance expectations by creating clear goals, providing ongoing formal and informal feedback, coaching and support as employees strive to achieve success.

Financial Responsibilities:

  • Contributes to the preparation of the program production operating plans and budgets.
  • Provides monthly financial tracking and forecasting reports.
  • Oversees the billing of all clients, artists and guests for photographic services performed in accordance with established procedures.
  • Oversees and tracks project expenses within program budget and provides details for program reconciliation.
  • Prepares and processes details required for participant billing, invoicing and ongoing A/R as per Banff Centre procedures and guidelines.
  • Prepares and processes purchase orders, cheque requisitions, petty cash vouchers, reimbursement and expense claims as required.

Qualification and Educational Requirements:

  • A degree or diploma in a related field or equivalent professional experience.
  • Professional experience in related production leadership roles.
  • Professional experience supervising in a unionized environment.
  • Demonstrated leadership in promoting a safe and healthy workplace and experience in developing risk assessments and safe work practices.
  • Proven project management skills with the capability to manage multiple projects.
  • Demonstrated experience with technical assessments and budgeting of artist projects.
  • Working knowledge of occupational health and safety regulations, standards, best practices and implementation of the same.
  • Effective under pressure with strength in shifting priorities.
  • Exceptional organizational and time management skills.
  • High level of self-motivation with a commitment to client/participant service excellence and a willingness to work flexible hours.
  • Proficient with the Microsoft suite of products (e.g. Outlook, Excel, Word and PowerPoint).
Employment Terms & Benefits

In accordance with the terms of employment governing management/PSP employees, this is a salaried, permanent position, subject to a 6 month probationary period.

The successful candidate will enjoy twenty paid vacation days, earned on a pro rata basis, for this entitlement year.
