Program & Events Coordinator

The Calgary Girls Choir, Synergy HR is seeking an organized and engaging individual with an interest in the arts to fill the role of program and events coordinator, located in Calgary, Alberta.

The program and events coordinator will ensure successful delivery of the artistic program, including rehearsals, camps, concerts, and events.

Working to support the artistic director in achieving the choir’s vision, this role is a key connection among the choir community, staff, artistic collaborators, venues, and suppliers.

This position is a unique combination of skillful program administration, detailed event planning, collaborative project management, and effective communications. And to ensure the success of the program, you’ll also care deeply about successful everyday operations of the choir. This position is ideal for someone who loves to see an idea grow from concept through execution.

Where you’ll make an impact:

  • Production of signature concerts (typically two annually) in addition to other concerts and recitals throughout the year, overseeing all aspects of successful events.
  • Program administration and regular communication with parents, choristers, and staff.
  • Strong and creative marketing and communications aligned to the choir’s mission, vision, and values.
  • Engaging and managing volunteers and chaperones for events, camps, tours, and more.
  • Preparation and logistics for camps and workshops.
  • Fundraising campaigns to expand the reach and impact of the choir.
  • Special projects to ensure everything behind the scenes runs smoothly.
  • Initiatives to improve chorister experience and engagement across our community.
  • Helping to protect our choir community through administering health and safety protocols.

To be successful in this role, you’ll need:

  • Excellent written and verbal communication skills.
  • Advanced planning and organizational skills.
  • Demonstrated experience delivering complex and multi-faceted events that achieve their objectives within budget.
  • Confidence using various technologies including Microsoft Office Suite, Google Classroom, Wild Apricot (preferred), or other email marketing tools.
  • Proven abilities managing multiple social media platforms including content creation.
  • Comfort using visual design tools like Canva to create promotional and social media content.
  • Experience updating and managing a website through a CMS.
  • An ability to manage many details in alignment with the big picture goal.
  • A track record of consistently meeting deadlines.

To quality for this role you must have:

  • University education or completion of an applicable college program.
  • Two to three years of event planning experience.
  • A police check is mandatory and vehicle is necessary.
  • Ability to lift and move heavy items for event/rehearsal setup and production management.
  • Ability to work some evenings and weekends—core hours of work will be in the office plus there will be a requirement to be present for events, and other programming.
