The 20th Anniversary Calgary International Film Festival takes place September 18 to 29, 2019, in the heart of Calgary.

With additional fun, engaging activities held across the twelve days, the Calgary International Film Festival goes beyond just watching a film, giving moviegoers a unique chance to connect with one another, and filmmakers, over their love of film and enjoy remarkable experiences together!

Role

The Development Coordinator is responsible for tracking and fulfilling all sponsorship activation and deliverables, fundraising and donor program support, and assisting the Development Director with grants, events, stewardship and general admin.

Responsibilities include:

  • Perform administrative tasks in support of the Development Director, including:
    • Corresponding with sponsors and donors.
    • Managing the sponsorship and donor tracking spreadsheets.
    • Filing contracts and other materials.
    • Data entry and data management using the festival’s database Zone Festival.
  • Support sponsor prospecting and stewardship, including:
    • Fulfill and track sponsor deliverables and activations, including the delivery and return of activation materials.
    • Oversee the delivery and receipt of sponsor tickets; in coordination with the Box Office Coordinator.
    • Work with departmental volunteers and Development Assistant regarding sponsorship activities.
    • Assist with sponsor events.
    • Assist with closing out all festival agreements and final reporting.
  • Support fundraising activity and donor programs, including:
    • Support the design and execution of Film Circle and other donor programs and initiatives.
    • Assist with processing charitable donations and fulfilling donor benefits.
    • Support the execution and reconciliation of fundraising campaigns and events.
    • Assist with other revenue generating initiatives, such as advertising sales.
    • Assist with grant applications and reports as requested, including liaising with other departments as needed
    • Assist with developing and managing the festival’s ‘Key List’.
    • Assist with formal invitations to major public figures (e.g. Mayor), and coordinate attendance of such guests where formal protocols are required.
    • Contribute to departmental post-mortem analysis and report.
    • Provide detailed post mortem notes and archived files (hard and electronic) relevant to the position and the work accomplished following the festival.

Qualifications:

  • Outstanding collaborator and team player.
  • At least two years professional sponsorship and/or administrative experience.
  • Experience hosting special events; preferably events involving sponsors.
  • Ability to quickly and efficiently learn new software, such as the festival’s database system (Zone Festival).
  • Excellent administrative and organizational skills, with a keen eye for detail.
  • Proficiency in standard Microsoft Office software applications, especially Excel.
  • Ability to prioritize tasks in a deadline-oriented, fast-paced environment.
  • Strong oral and written communication skills, including excellent phone manner.
  • Personable, positive, and professional.
  • Adaptable to a flexible work schedule, including some evenings and weekends.
  • Ability to work independently when required.
  • Excellent reasoning, decision making and problem-solving.
  • Reliable, hardworking and resourceful.
  • Ability to handle difficult situations with aplomb and grace.
  • Experience in not-for-profits, in particular, film festivals, considered an asset.
  • Driver’s license considered an asset.
