Job Description

The facility manager is responsible for the management and maintenance of the facility, systems, services, and grounds. The facility manager has three main priorities; facility maintenance and life cycle updates, OH&S program, and day-to-day maintenance and building support.

Key Responsibilities:

  • Facility maintenance and life cycle updates.
  • Implementing policies, procedures, guidelines, rules and regulations relating to facility operations to allow staff and contractors to operate efficiently, resolving specific operational issues minimizing risk and cost exposure.
  • Responsible for developing, implementing and monitoring of a comprehensive preventative maintenance program for the facility, equipment and grounds.
  • Monitors building maintenance expenditures in comparison to established budgets and in accordance with established procedures.
  • Provides a building maintenance budget and special project budgets.
  • Identify innovative opportunities for facility improvements and cost efficiencies ensuring continued alignment with organizational strategies and priorities.

Day-to-day maintenance and building support:

  • Oversees the day-to-day operation of the facility, systems, grounds and building maintenance coordination by ensuring that necessary systems, procedures and equipment are in place, building maintenance guidelines and policies are adhered to, and building maintenance standards and compliance requirements are met.
  • Conduct daily walk-throughs of the facility and property, managing facility up-keep and addressing areas requiring service.
  • Coordinates and manages all supplier/service provider relationships including supervision and regular contract reviews.
  • Provides on-site support within the facility through liaising with staff and tenants.
  • Prepares estimates of labour and material costs, contacts external contractors and trades people to obtain quotes, evaluate proposals, and arranges for major repairs and maintenance work.
  • Performs overall facility management and some maintenance duties aligned with skills and experience.
  • When necessary, attend to and manage emergencies on a 24-hour basis.

OH&S Program:

  • Develops and maintains OH&S policies and procedures.
  • Gathers and records information regarding the facility, overall premises and tenants, including completing incident reports on disturbances and damages.
  • Ensures building and equipment meet all safety, security and fire regulations and policies. Makes recommendations for major repairs and purchases to CEO.

This position may include other job-related activities as directed by the chief executive officer that contribute to the success of Contemporary Calgary.

Skills & Experience

  • Experience in facility management including contract management and negotiation.
  • Project management.
  • Proactive and energetic team player with strong organization skills.
  • Creative and critical thinker with excellent problem-solving skills.
  • Exceptional attention to detail.
  • Strength in determining priorities with the need for flexibility.
  • The ability to work in a multidisciplinary and fast-paced work environment with limited supervision as well as excellent interpersonal and communication skills.
  • Proficiency in Microsoft Office, comfort and ability using web-based programs and other related software programs.
  • Experience working with Siemens Building Management Systems considered an asset.

Qualifications

  • Must be able to work flexible hours as needed.
  • The ability to function independently and frequently under pressure while managing multiple concurrent projects and deadlines including effectively managing emergency situations.
  • A reasonable level of fitness to perform the function of the position, including the ability to lift a minimum of 40 pounds.
  • Five (5) years recent related experience or an equivalent combination of education, training and experience.
  • This position requires a valid Class 5 driver’s license and an appropriately insured vehicle in good running order present at work.
