The Kiyooka Ohe Arts Centre (KOAC) is looking for an energetic and driven administrative assistant to support KOAC founders, artists Harry Kiyooka and Katie Ohe, and other KOAC operations management tasks.

Job Description Summary

Working from our Springbank offices, the admin assistant will be responsible for providing support to KOAC as needed in an efficient and effective manner. To be successful the ideal candidate is well-organized, has impeccable time management skills, and performs autonomously. The candidate would have a working knowledge of Microsoft Office, strong interpersonal and organizational skills, and the ability to communicate well

Administration and Office Support:

  • Perform general administrative tasks, including but not limited to, data entry, photocopying, printing & binding of marketing packages, telephone calls, archiving, couriers, mailings, etc.
  • Aid in events and conferences coordination.
  • Anticipate executive directors, founders, and KOAC business needs and undertake necessary actions to produce effective results on time.
  • Prepare, collect, and maintain information for the preparation of reports, proposals, and other materials.
  • Assist with aspects of relationship management with KOAC key stakeholders (members, donors, artists) and required reporting.
  • Handle contact lists, including database management.
  • Manage and support timelines.
  • Schedule and organize activities such as meetings, agendas, and presentations.
  • Compose draft correspondence for review by the manager.

Required Skills & Qualifications:

  • Minimum of two years of experience.
  • Industrious, organized, driven, efficient, detail-oriented with exceptional prioritization skills.
  • Excellent written and oral communication skills.
  • Competence in Microsoft Office, One-drive, Outlook, Word, and Excel.
  • Competence in Apple Software, Numbers, and Pages.
  • Competence in graphic design, Adobe Suite.
  • Strong computer skills, capable of managing devices.
  • Communicate effectively with others, including giving and receiving feedback.
  • Ability to set up and lead, manage and complete small office projects.

Research Skills:

  • Strong written and oral communication skills.
  • Ability to work independently with minimal supervision.
  • University or college degree preferred, but not required.

Seniority Level: At least two years of experience.

The employment type is part-time, flexible hours.

Compensation: $30 per hour. Travel time expenses covered.
