Office Manager / Admin Assistant

Who We Are

Sled Island is a charitable organization with the mandate of fostering understanding and appreciation of music & arts underrepresented in mainstream media, and to nurture the local artistic community through performance and educational opportunities. Our main activity is the presentation of the annual Sled Island Music & Arts Festival, a pillar of Calgary’s cultural calendar taking place each June, that brings together thousands of artists, volunteers, partners, and attendees from across the country and beyond. We also present year-round artistic and educational programming through numerous community partnerships, aimed at increasing awareness of Sled Island on an ongoing basis.

Who You Are and What You Will Do

We are looking for an outgoing and enthusiastic candidate who thrives on making spreadsheets, excels at Internet research and loves problem solving. You will report to the executive director and assist all festival staff with various daily administrative tasks, including acting as office receptionist. The week of the festival (June 20 – 26, 2022) you will be in charge of managing Pass Pick-Up where all artists, volunteers and patrons will come pick-up their festival wristbands.

Key Responsibilities:

  • General administrative support.
  • Answer all phone, email, and in-person enquiries.
  • Manage office supplies and take care of orders.
  • Assist the executive director and other staff with Internet research and other admin tasks.
  • Compile weekly sales reports.

Pass Pick-Up:

  • Compile all patrons, artists, partners, media, and volunteer pass lists.
  • Plan volunteer needs and create schedule.
  • Coordinate and oversee Pass Pick-Up set-up and tear-down, including all supplies and equipment required.
  • During the festival: manage volunteers, greet festival attendees and participants, open and close each day and provide daily sales report to executive director.

Qualifications:

  • Excellent interpersonal and communications skills.
  • Excellent organizational skills and attention to details.
  • Strong ability to problem-solve and be resourceful.
  • Ability to be assertive yet diplomatic.
  • Proficiency with Word, Excel, Gmail, Google Docs.
  • Willingness to support Sled Island’s commitment to values of inclusion, anti-racism, and anti-oppression.

Preferred Qualifications: (these are considered assets but are not mandatory to apply)

  • Familiarity with Sled Island.
  • Customer service experience.
  • Leadership experience.
Job Specs & Work Environment

This is a seasonal, full-time position (30hrs/w) running from May 9 to June 30, 2022. Due to the nature of the position, the Production Assistant is expected to occasionally work some evenings and weekends.

Our office is located in Mission and is easily accessible by public transport. Paid street parking and limited free parking is available in the area. Please note that the office is in the basement level of a building, with no elevator.
