About this Position

The volunteer coordinator is responsible for managing and stewarding the NMC volunteer program and volunteer resources to assist in the delivery of the NMC’s mandate, programs, and services. The volunteer coordinator is responsible for full cycle volunteer management, including the recruitment, screening, orientation, training, recognition and evaluation of volunteers. The volunteer coordinator is also responsible for providing guidance, support, resources and tools to NMC staff who supervise and work closely with volunteers.

The position works with all NMC departments to ensure that there are qualified volunteers to take on assigned roles at Studio Bell including supporting the volunteer needs of museum stewardship, event support, fund development, administrative assignments, as well as assisting with NMC’s education programs and awareness of NMC’s vision and mandate. The Volunteer Coordinator will be responsible for maintaining all volunteer files, compiling volunteer program statistics for Board and reporting agencies, developing and maintaining a comprehensive volunteer recognition program, and meeting the requirements of the NMC’s operational and strategic plans.

Responsibilities

Key responsibilities include, but are not limited to:

  • Implementing and administering the volunteer program for NMC, including managing the volunteer database (Better Impact)
  • Developing and monitoring the annual budget for the volunteer program
  • Administering and reviewing policies and procedures that guide the volunteer programs and services
  • Developing and implementing procedures to document and record volunteer activities and hours
  • Working with NMC staff to identify and assess volunteer assignments that provide meaningful opportunities for volunteers and assisting staff to write volunteer position descriptions
  • Develop and implement effective recruitment strategies to recruit and retain volunteers
  • Conduct and evaluate potential risk assessments for all volunteer positions and implement risk mitigation procedures by placing the most appropriate volunteer in each role
  • Build relationships with community organizations and NMC partners
  • Managing the recruitment, intake and screening protocol and procedures for potential volunteers
  • Providing volunteer orientation and training on NMC’s mandate, vision, and the volunteer’s responsibilities to ensure they are successful in their roles
  • Ensure that volunteers receive the appropriate level of supervision and support from NMC staff
  • Monitoring and evaluating the contribution of individual volunteers
  • Planning and implementing a volunteer recognition program
  • Ensuring that volunteers work in a safe, healthy, and supportive environment in accordance with legislation and regulations
  • Regular reporting on the volunteer program
Qualifications

The ideal candidate will have:

• Three to five years experience in coordinating, supervising, and managing volunteers
• A college certificate in volunteer management or non-profit management is an asset
• Post secondary education in social sciences, human resources, community development, or adult education is an asset
• Professional designation: Certification from the Canadian Administrators of Volunteer Resources (CAVR), Membership Volunteer Management Professionals of Canada (VMPC), or the equivalent provincial association is an asset
• Knowledge of current trends, resources and information related to volunteerism
• Knowledge of the management of volunteer resources
• Proven ability to communicate effectively through written and oral media channels
• Track record of relationship management and development, as well as community engagement
• Excellent written and verbal communication skills
• Excellent organizational skills with attention to detail
• Experience in planning and implementing volunteer management programs
• Proficiency in the use of computers for Word processing and volunteer database management software (Better Impact)

This is a full-time, salaried position that may require evening and weekend hours to support events held in Studio Bell. National Music Centre offers a competitive salary and benefits package including:

  • Salary range for this position: $47,000 to $52,000, dependent on the candidate’s education and work experience
